AGM Minutes 12th April 2015
Apologies for absence: James Otero
In Jame's absence, Trev asked to chair.
Annual Subscriptions
Annual subs of £10 discussed: benefits being to raise club funds to provide a surplus should we need it to move venues etc and for the provision of club staple terrain pieces ' i.e. hills, roads, rivers, trees and new boards.
It was questioned whether this was £10 which included a weeks door money: Trev didn't know James' intention but presumed that this was an additional £10 cost, not £5.
Concerns raised whether it was right for unwaged or under 18's to need to pay
Concerns raised over the principle of subs in general:
Counter suggestion raised to let members contribute to individual collections: that way, each member would see their own contribution allocated to items they would be able to use themselves i.e. a generic terrain collection, a 40K terrain collection, a roleplay collection etc.
This item was voted on with 19 votes for, 1 abstention and 1 against the idea of having separate collections.
The general mood was that each would contribute at least their £10 annual subscription to one of the various pots each year.
It was agreed that wish-list threads would be posted on the pro board site and it was highlighted that it would make sense for these to be finalised ahead of Salute if significant discounts were to be obtained. Each 'pot' would have its own coordinator to account of funds which would be listed each week for transparency.
A cautionary note was made that these things start well and often are forgotten 6 weeks later: makes sense to keep a record of who contributes what should we decide to revert to the old system.
Looking after club funds
Funds will continue to be held centrally.
Club funds are now kept off site between meetings and are managed by James, Rodge and Trev. There were no other volunteers nominated for these responsibilities. Should whoever is holding the funds be unable to attend thay will make arrangements to ensure that another of them has the funds for the following week.
The admin thread on pro-boards is updated weekly to provide transparency over the level of club funds. - It was highlighted that this thread is not visible to all members.
Spending Club funds
This will be determined by amount additional funds raised from various contributions / fundraisers etc as agreed above.
It was agreed that the club terrain boards should be replaced with 2' by 4' mdf boards and cloths to make storage easier. New terrain boards will be matched so that tables of various sizes can be built (and new terrain bought keying into this).
It was agreed that central funds (from weekly subs) could be used for equipment etc however a reasonable balance needs to be kept in hand at ALL times to cover any weekly shortfall in door monies or emergency relocation etc.
Contingency planning should the club need to move venues
Membership were keen to remain close to central St Albans transport network and several members suggested alternative venues: Scout and Guide huts being mentioned several times as they would also be able to provide the necessary storage solutions and be competitive on price.
It became apparent during this discussion that only about half of those present actually lived in St Albsns
It was highlighted that we have decided not to use our position as the only regular hirer of the venue to drive down hire costs as we feel we get value for money and have considerable freedom.
A reserve of club funds to be held back to enable us to cover unforeseen eventualities: Trev highlighted that this level has not yet been agreed.
Any other business?
Putting away
Once again, the need to leave tables tidy, put away terrain, rubbish in bins etc when games finish was flagged to avoid the same people needing to tidy up each Sunday at the end of the evening.
Noise
Volume levels were commented on as games often start loud and get louder as excitement builds / 6's are rolled. Members were politely asked to remember to reduce volume levels wherever possible between the exciting bits
